The process of working with ABBYY FlexiCapture consists of several stages: at the first stage, the system is installed and flexible descriptions for document processing are configured. Once a project has been created with all the settings and templates, all types of documents can be processed in one thread. Standard document processing steps include importing images from various sources, recognition, verification and export of received data to various information systems.

The procedure for entering and processing data in ABBYY FlexiCapture consists of two stages - the preparatory stage and the processing stage. Different users - administrator and operators - are usually responsible for individual stages.

    Administrator mode designed to set up the entire process of streaming data entry, prepare flexible document descriptions and pre-testing. This mode is used during the preparatory stage and provides full access to all system capabilities, including processing settings and tools for creating flexible descriptions.

    Operator mode is intended only for data entry and processing operations, in particular for importing/scanning documents, recognition, verification of recognition results and export of received data. In this mode, the user “communicates” with the program through a simple and intuitive interface, which makes daily work with the program as convenient and tireless as possible.

At the setup stage, processing rules are set and flexible document descriptions are prepared. Typically, the above tasks are performed by an administrator who creates flexible descriptions for all types of documents that will be processed within a particular project.

The flexible description of FlexiLayout allows the system to extract the necessary data from documents with a non-rigid structure, such as text strings, barcodes, dates, currency symbols, numbers, separators, tables.

For example, using just one flexible description, the program can find all the necessary fields on invoices coming from different suppliers and having different formats, even if these are multi-page documents. ABBYY FlexiLayout Studio offers effective and convenient tools for testing and customizing flexible descriptions on a set of document images: hypothesis tree, reference descriptions, FlexiLayout language.

The self-learning system technologies implemented in ABBYY FlexiCapture not only automate the process of creating document descriptions, but also enable specialists to edit such descriptions immediately after their creation to improve the results of the system in the future. This significantly reduces the complexity of this stage of work and its duration.

With its help, the Administrator can set up processing rules that tell the program how to identify a specific type of document in the general data flow and what operations need to be performed with these documents during processing. The administrator can also specify what data should be extracted and how it should be recognized, checked, verified and exported.

Paper documents can be imported into the program using a scanning device (scanner or MFP) that supports the scanning protocol TWAIN or ISIS. Document images can also be added manually from the regular folder where they are stored, or automatically from a hot folder.

MAPI and POP3 support allows you to send images to the system via e-mail. In addition, through an MFP with the scan-to-email function, you can send scanned images for manual processing.

Supported graphic formats: PDF, BMP, PCX, PNG, JPEG, JPEG 2000, DjVu And TIFF, DCX. The import operation can be simplified and automated using a set of import profiles with predefined settings.

In addition to centralized scanning, ABBYY FlexiCapture offers remote document import, which is ideal for the needs of large companies with a distributed structure or distributed business processes that involve scanning documents at entry points and their subsequent centralized processing. The operator installs and launches the scanning client by simply clicking on a link on a web page. The installation is completely automated and does not require administrative privileges on the computer. Import profiles can be configured locally by the scan operator or assigned centrally from the server.

ABBYY FlexiCapture overlays existing flexible descriptions on imported images and collects individual unorganized pages into documents.     Data and text extraction

After overlaying the templates and detecting the required fields, data is extracted from them using highly accurate multilingual recognition technologies. Unstructured documents are recognized using full-text recognition technology to produce fully searchable PDF files.

    Automatic data control

During the recognition process, the program automatically applies data control rules specified by the administrator at the stage of developing flexible descriptions. The most common types of rules include number and date format checking, database checking, sum checking, replacing values ​​from a list, and normalizing dates and prices. For many types of data, dictionaries of permitted words are available, which can also be used in the data control process.

Data verification

When recognition is complete, each character is assigned a status reflecting the reliability of recognition: the character can be reliably recognized, unreliably recognized, or unrecognized. The last two statuses mean that the operator needs to confirm the system hypothesis or make corrections. This stage requires more manual labor than the rest. To speed up and simplify the verification process, ABBYY FlexiCapture has a built-in special verification interface that offers three operating modes: group verification (most suitable for checking marks and numbers), field verification (for checking text fields) and verification in the “Document” window (for rule adjustments).

The verification process also includes adjustments to assembly rules using thumbnail images of documents, adjustments to data control rules, and manual indexing using Key From Image (KFI).

You can check uncertainly recognized characters directly in the browser window. The data verification web station does not require installation on the user's computer and is available wherever there is Internet access.

Data export and document archiving

Extracted data can be exported to external databases (via ODBC) or files, transferred to business applications or systems electronic document management. Data can be exported to pure form or together with attached images and texts. Documents can be saved to archives as files in the format PDF/PDF-A with full-text search capability.
